Applicable to: Members of personnel

“For any absence of a half-day or more for training purposes, the member of the personnel must submit an EDH Demande d’absence / Absence Request form indicating “formal training” under the “Absence type” heading. Under “Phone/location during absence and other comments” in the absence request, it is recommended that to enter the EDH training request number and any other relevant information be entered.

Training may take place during or outside normal working hours. No compensation is granted if training takes place outside normal working hours.” (Admin e-guide)

Online training:

  • The above is also applicable for online trainings of half-day or more: the EDH Absence request must be registered as “formal training”.
  • If online training is followed during telework time, the EDH Absence request must be registered as "formal training" instead of "teleworking".

External training

When there is no internal course available to meet your specific need.

Procedure:

  • Discussion with your supervisor to identify your training needs.
  • Discussion with your DTO to get assistance.
  • Submission of the EDH request (TRN) and annexed documents.
  • Once the TRN is signed the requestor can register for the training.
  • The DDTO creates the DAI (Payment of external training).
  • The requestor fills the travel request and the absence request on EDH.

Language courses

– Members of personnel, graduates and fellows who are completely beginners in French should follow the “Welcome to French for BEGINNERS“. This course is also open to CERN contractors and spouses.

– “My First Steps in French” course is specific for students (TECH, ADMIN, DOCT).

– Complete list of language courses and other details: Language Catalogue, Language.Training@cern.ch or contact your DTO.

– General rule in the department: Maximum of 2 language courses (English or French) per person.

– The language guidelines for CERN are published in CDS (EN / FR versions, valid from September 2023).

Fellows/GRADUATE programme (memo):

  • The first in-house language course request is covered by the central HR budget code 10208.
  • Only the following courses may be charged to the central budget:
    • Welcome to French for BEGINNERS-INTENSIVE (IN CLASS)
    • Welcome to French for BEGINNERS (IN CLASS)
    • Learn French with Confidence (A1 to C2) IN CLASS or ONLINE or BLENDED
    • Learn English with Confidence (A1 to C2) IN CLASS
  • For the placement test, the group budget code must be indicated.

Placement test:

  • Mandatory for all the French/English courses. The language teacher will contact you directly to arrange an appointment for the oral test.
  • The placement test is valid for 6 months ONLY.
  • Once you have completed your placement test and you have approval to attend a language course, please register for a course in the Language portfolio as course enrollments are not automatic.
  • The cost, if any (it used to be 12CHF), will be charged only to the Department if there is not enrolment in a course.

HR-LD reminder to the language courses participants: Your Placement Test result or last Language Certificate should be sent to your supervisor and DTO before a new language training request.

Training included in the Career Transition Measures programme

Case of training courses selected from the CERN training catalogue:

  • Staff members wishing to select a course from the CERN training catalogue must create an EDH training request and tick the box indicating “Only for Staff members with LD contract: training in the framework of Career Transition Measures”. This box is visible only to eligible staff members.
  • The request is then sent to the staff member's supervisor and Human Resources Adviser for approval. The Departmental Training Officer (DTO) and the Departmental Administrative Officer (DA0) also receive the request for information.
  • The costs of training courses attended in the context of career transition measures are charged to a central budget and not to the departmental budget.

Training request for personnel employed by external companies (ENTC)

It is essential that the requestor verifies the budget code provided in the EDH training requests.

This is also valid for the training request with no cost (0 CHF).

CERN accelerator schools (CAS)

The candidates approved by the Department Head will be informed by the DDTO and will receive the details on how to proceed for the registration.

The participant shall:

  • Register in the school website before the deadline and send a copy of the registration details to the DDTO who will register the External Training Request (TRN).
  • Fill in the EDH travel request and absence request for “official training”.
